Notarisation by me during Coronavirus pandemic

1. I am not able to do notaries at Basildon Office currently during the pandemic restriction period as that office is closed to the public but I can do notarisations by attending your home under strict conditions . I can do notarisations from Wisbech also under strict conditions. If you cannot follow this procedure then I cannot do your notarisation so please read carefully.

Procedure at Wisbech

2. Firstly you must email me to arrive at least 24 hours in advance of any appointment all documents to be notarised.

3. You must also email me copies of those documents you intend to use as proof of your identity which should include for each person to be identified:

a. Your passport
b. Your photographic driving licence.
c. 2 utility bills, bank statements or official letters addressed to you dated within 3 months showing your current address. These should be hard copies not printed from the internet.
d. If there is any problem with these ID documents. discuss with me in advance what you can offer.

4. Make an agreed appointment.

5. On the appointment day call me on the number below to confirm you are leaving and your eta. I will ask you to confirm that neither you nor anyone in your household is currently symptomatic of coronavirus. If you are then the appointment will need to be postponed until you are no longer so.

6. When you arrive at my property park up outside and call me again and I shall come out to see you. Please remain in your car.

7. Please forgive the fact that I will not be able to conduct the normal pleasantries – we must all stay protected.

8. I will take out with me printed copies of the ID documents and I will ask you to place the originals against the car window one by one so I can compare them. This is part of my job.

9. Once this is done I will ask you to open the car window and I will hand you in a clip board. Using this please add the documents one by one to the clipboard and sign them in accordance with the instructions I will give you. IMPORTANT – If you wish to avoid risk from me handing you a clipboard please bring with you your own clipboard or similar that you can use to support your documents as you sign.

10. At the end of this process I will hold a carrier bag open and ask you to put the clipboard with signed documents in it (or the documents on their own if you bring your own clipboard). I will retain this safely for 3 days before I carry out my part of the notarisation. I normally complete notarisations there and then but this is not possible with current social distancing requirements as it is known that coronavirus can be spread by materials.

11. During that 3-day period I will email you my invoice and require payment by bank transfer. My bank details are on the invoice. If you wish to pay by cash then you can do so by putting the cash in the carrier bag with the clipboard. I would prefer internet transfer and cannot currently accept cheques.

12. I will then notarise the documents as appropriate and get them returned to you by special delivery post. You should exercise precautions when opening the mail from me.

Procedure at Basildon

13.This is very similar to Wisbech save that the notarisation is done at your home or workplace
(as agreed between us). I will remain outside or in a socially distanced location at all times.

14. The requirement for advance copies of the id documents and the actual document as the
same as for Wisbech (see paragraphs 2, 3 and 4 above).

15. Once I have seen your original ID docs to compare with the copies you sent me and witnessed you signing the procedure follows paragraphs 10 to 12 of the Wisbech procedure so far as notarisation, payment of my invoice and return of the documents are concerned.

Applies to both Wisbech and Basildon

16. If the documents are to go for an apostille I will get them returned to you direct by my
agents or the FCO as the case may be. At the present moment the FCO is not fully open and I
have to rely on agents. Time scale is likely to be longer than usual (Which is usually less than
a week).

17. If I am suffering from or show signs of Coronavirus, I will cancel any appointment. However, I
cannot guarantee that I am not asymptomatic or otherwise unknowingly infectious, so you
should like me take full precautions as you think appropriate when seeing me. Therefore you
see me at your own risk.
